The Prism contracting entity identified in the applicable Order Form, invoice, checkout confirmation, or other commercial record ("Prism," "we," "our," or "us") provides Prism software, related websites, support channels, licensing systems, and any hosted services that link to this Privacy Policy (collectively, the "Services").
This Privacy Policy explains how Prism collects, uses, discloses, and otherwise processes personal information.
1. Scope
This Privacy Policy applies to personal information Prism collects:
- through Prism's website, sales, marketing, and support interactions;
- through account, licensing, billing, and subscription administration;
- through hosted features, telemetry, update services, or cloud-connected functionality, if enabled; and
- when customers voluntarily provide data to Prism, including support bundles, logs, screenshots, or troubleshooting materials.
A substantial portion of Prism may run locally on your device or within your own environment. When data is processed locally and not transmitted to Prism, that local processing is not the same as Prism collecting the data.
2. Categories Of Personal Information We May Collect
Depending on how you use the Services, Prism may collect the following categories of personal information:
Contact And Account Information
- name;
- business email address;
- phone number;
- company name;
- job title;
- billing and account administrator details; and
- credentials or account identifiers used for Prism-managed services.
Commercial Information
- subscription tier;
- order history;
- billing status;
- payment-related records provided by payment processors; and
- contract, quote, and renewal information.
Device, Application, And Diagnostic Information
- IP address;
- device identifiers;
- operating system details;
- application version;
- license status;
- crash reports;
- performance metrics;
- feature usage signals;
- update events; and
- security and audit logs.
Customer Workspace Content
Depending on product configuration and support workflows, Prism software may process:
- automation scripts and macros;
- profile data and session settings;
- datasets and variables;
- screenshots and run logs;
- support attachments; and
- operator-entered notes or configuration.
Prism may not receive this information unless you use hosted features, enable telemetry, sync data to Prism-operated systems, or provide the information to Prism for support, billing, compliance, or troubleshooting.
Communications
- messages sent through forms, email, chat, or support channels;
- demo requests;
- sales correspondence; and
- survey or feedback submissions.
Website And Cookie Data
If Prism operates a website, it may collect:
- browser and device information;
- page views and referral data;
- session and analytics data; and
- cookie and similar technology data.
Prism does not currently describe a public advertising technology stack in this policy. If Prism later adopts additional analytics, cookie, or advertising technology, Prism will update this section before using those tools.
3. How We Use Personal Information
Prism may use personal information to:
- provide, license, secure, maintain, and improve the Services;
- authenticate users and manage subscriptions;
- process payments, invoices, renewals, and collections;
- operate update delivery, support, and troubleshooting workflows;
- monitor performance, diagnose errors, and investigate abuse or security issues;
- communicate about product updates, renewals, service notices, and support;
- comply with legal obligations and enforce our agreements; and
- analyze usage trends and improve product quality, documentation, and customer experience.
Prism does not use customer workspace content for cross-context behavioral advertising.
4. How We Disclose Personal Information
Prism may disclose personal information to:
- service providers that support hosting, analytics, payments, customer support, communications, or security operations;
- professional advisors such as lawyers, auditors, insurers, and accountants;
- corporate affiliates involved in operating the Services;
- government authorities, regulators, courts, or law enforcement where required by law or legal process; and
- a buyer, investor, or successor in connection with a merger, financing, acquisition, or sale of assets.
Prism may also disclose information as needed to investigate fraud, security incidents, misuse, or violations of Prism's agreements.
5. Customer Responsibilities And Roles
Customers are responsible for the data they choose to load into Prism and for ensuring they have the legal right to collect, use, and process that data.
Where Prism processes customer workspace content on behalf of a business customer in a hosted or support context, Prism may act as a service provider, processor, or similar role under applicable law, and the customer remains responsible for the legality of the underlying workflow and data collection.
6. Legal Bases And State Privacy Rights
Prism may process personal information based on:
- performance of a contract;
- legitimate business interests, such as security, product improvement, and support;
- compliance with legal obligations; and
- consent, where required by law.
Depending on where you live, you may have rights to request access, correction, deletion, portability, or limits on certain processing of your personal information, subject to applicable exceptions.
If you are a California resident, you may have rights under California privacy law, including rights to know, delete, and correct certain personal information. Prism will honor applicable state-law notice, retention, sensitive information, and opt-out obligations based on the Services and processing activities in scope at the time of collection.
7. Retention
Prism retains personal information for as long as reasonably necessary for the purposes described in this Privacy Policy, including to:
- provide the Services;
- maintain business and billing records;
- resolve disputes;
- enforce agreements; and
- comply with legal, tax, accounting, and regulatory obligations.
Prism expects retention windows to vary by category, including account data, diagnostics, telemetry, support materials, screenshots, and billing records. Where Prism needs a more specific retention commitment for a particular service or customer, Prism may document that separately in customer-facing materials or the applicable commercial record.
8. Security
Prism uses reasonable administrative, technical, and organizational measures designed to protect personal information. No method of transmission or storage is completely secure, and Prism cannot guarantee absolute security.
Customers are responsible for securing their own devices, credentials, local workspaces, exported files, and any Prism deployments or storage environments they control.
9. International Data Transfers
If Prism transfers personal information across borders, Prism will take steps required by applicable law and implement any transfer mechanism required for the jurisdictions involved.
10. Children's Privacy
The Services are intended for business use and are not directed to children under 13. Prism does not knowingly collect personal information from children in violation of applicable law.
11. Changes To This Privacy Policy
Prism may update this Privacy Policy from time to time. Prism will post the updated version with a revised effective date and, where required by law, provide additional notice.
